Key Responsibilities
- Managing executive diaries, appointments, and schedules
- Overseeing and maintaining shared mailboxes
- Preparing quotations and handling administrative documentation
- Coordinating meetings, preparing agendas, and taking accurate minutes
- Ensuring all tasks, follow-ups, and action items are tracked and completed within agreed timeframes
- Providing comprehensive Personal Assistant support to management
- Assisting with branch administration and operational processes
- Managing confidential information with discretion and professionalism
- Performing ad hoc administrative duties as required
Minimum Requirements
- Proven experience as a Branch Administrator.
- Previous experience within a Temporary Employment Services (TES), Recruitment, or Staffing environment will be highly advantageous.
- Advanced Microsoft Excel skills are essential, including:
- Creating and maintaining Pivot Tables.
- Using advanced formulas and functions (e.g. VLOOKUP/XLOOKUP, IF statements, SUMIFS, COUNTIFS, INDEX/MATCH).
- Organising, analysing, and reporting on large volumes of data.
- Producing accurate reports and spreadsheets for management.
- Strong proficiency in Microsoft PowerPoint, with the ability to create, edit, format, and enhance professional presentations.
- Experience preparing quotations and maintaining accurate administrative records.
- Proven experience managing executive calendars, scheduling meetings, and coordinating appointments.
- Excellent organisational, communication, and time-management skills.
- Strong attention to detail with the ability to manage multiple competing priorities in a fast-paced environment.
- High level of professionalism, confidentiality, and discretion.
- Stable employment history with contactable references.
